Executive Assistant / Office Manager
Job Description
We are a group of financial services companies operating in the investment and wealth management, financial planning and fintech space, with multiple offices across the UK. We are seeking an experienced executive assistant/office manager to join our team in Central London (Westminster / St James area).
The successful candidate will mainly focus on providing executive and administrative support and assisting in some HR-related matters. The EA support needs to be first-rate, and a successful candidate will also be looking after the general running of the Office. Hence, an ability to manage multiple tasks and prioritise whilst having a handle on all that is going on with the PA side is essential.
Admin Support responsibilities
- Provide administrative support to partners, including managing diaries and correspondence and proactively reducing administrative load.
- Acting as a point of contact for clients and business partners
- Coordinates internal and external communications, including maintenance of Intranet pages.
- Undertakes appropriate ad hoc projects and initiatives to support continuous improvement and business efficiencies.
Office Management responsibilities
- General office administrative support as needed
- Accounts payable processing support
- Be the main point of contact for all vendors and vendor management
- Order all office supplies, snacks, coffee, etc.
- Office Tech/WiFi Needs - maintain close contact with our IT vendors.
- Assisting with routine facilities maintenance issues
- Liaising with the landlord's facilities manager
- Assisting the accounts department with record keeping, staff expense claims, filing and scanning
